Trial and ongoing access
A new organisation starts with a 30-day trial. This page explains when the clock starts, what the trial includes, what happens at the deadline, and how to arrange ongoing access.
When the trial starts
Section titled “When the trial starts”Creating your account does not start the trial. The 30-day clock starts when your first project is successfully created. You can register, sign in, and take your time on the first-run screen. The countdown begins when you save that first project.
No credit card is required to register or to use the trial.
What the trial includes
Section titled “What the trial includes”Every project you create during the trial has full access. There is no limit on the number of trial projects.
All trial projects share one end date. Adding a project later does not extend the clock.
Head Office can follow the countdown on ToolboxFMAdminPlans & usage. That page shows the exact date and time the shared trial ends, the time remaining, and each project’s current access and effective dates.
Reminder emails
Section titled “Reminder emails”ToolboxFM emails active Head Office administrators before the trial ends:
- 7 days before the deadline;
- 3 days before;
- 1 day before;
- once when the trial ends, if a project has become read-only.
Each email names the exact end date and time, explains what becomes read-only, and links to Plans & usage and the contact details for arranging access. Each milestone is sent once per administrator, and reminders stop early if every trial project moves to contract-funded access.
Nothing is charged automatically at the end.
What happens when the trial ends
Section titled “What happens when the trial ends”At the exact time shown on Plans & usage, every trial project without ongoing access becomes read-only for normal use. A read-only banner appears on each affected project. Nothing is deleted.
“Read-only for normal use” means:
- You can still see everything. Projects, zones, work activities, close-outs, diary entries and photos remain available.
- You cannot do normal work. You cannot create work activities, zones, exclusion zones or templates. You cannot move scheduled work, start or resume work, approve work, extend work, invite or manage people and subcontractors on the project, or add diary entries and comments.
- Safety actions still work. You can pause, end or cancel work that is already underway, and you can submit outstanding close-outs.
- Automatic safety work continues. Queued activities can still start, overdue alerts still run, and close-out nudges still go out.
- Public QR pages keep working. Anyone who scans a gate or zone code still sees the current activity and the project contacts.
Arranging ongoing access
Section titled “Arranging ongoing access”Ongoing access is handled by the ToolboxFM team. There is no checkout page in the product. Contact us about the projects you want to keep using.
Contact ToolboxFM to start the conversation.
To make it quick, tell us:
- your organisation name;
- the project or projects that need ongoing access;
- who we should contact about the agreement.
We will confirm the agreement and the date access takes effect. Once access is in place, the project goes back to normal use.
After the trial ends, adding a new project also needs ongoing access. Use the same contact details.
